Community Center Forum Rentals

Arc GLOW’s Community Center Forum is a versatile space designed to accommodate a wide range of events and gatherings! This venue provides the flexibility and amenities you need to ensure a successful event. The community center forum can comfortably hold up to 300 people and has a retractable room divider, making it suitable for both large and intimate gatherings.

Mobile 85″ Smart TV that can be added on to any rental for an additional $150, this fee would be due at key exchange, and is refunded after the rental baring no damages.

Fees (Effective Sept. 1, 2025)

A $150 cash-only damage deposit is required to hold a reservation for the forum at the Community Center.

The forum costs starts at $300 per day. Additional options such as set-up, linens and AV options are available for an additional charge.

Needing a smaller space? Need projection? Our Conference Room is perfect for small team meetings or trainings, comfortably seating up to 25 people. The conference room is available to rent for $100 per day, 8 a.m. to 4 p.m. If you need a shorter time frame, ask about partial day availabilities.

Reservations made within 30 days of rental date must be paid in full one week prior to the rental date. Reservations made more than 30 days of rental, half of the total balance is due 30 days prior to the rental date while the remainder of the total balance is due a week prior to the event date.

For any recreational or sports activity or an event with an outside caterer a Certificate of Insurance naming Arc GLOW as Additional Insured must be provided.

Facility Rental Terms

Facility Reservations – Reservations can be made by calling the Business Services Dept. at 585-343-1123 or e-mailing CCR@arcglow.org

Damage Deposit – A $150 damage deposit is required (cash only) to confirm reservation. This deposit will be refunded to the renter pending a facility evaluation done by Arc GLOW staff the following business day to determine the condition of the facility at the conclusion of the event.

Walk-Thru – The Arc facility evaluation walk-thru process has three component:

Initial Walk-thru: A mandatory, informal tour of the facilities with an Arc GLOW staff member. Renter and staff will determine the scope of the use and the services to be provided by Arc GLOW. The initial walk-thru must be completed at agreement signing/contract approval.
Rental Day Walk-thru: A mandatory tour of the facility/use area involving an Arc GLOW person and a representative of the renter group to document the condition of the facility prior to use.
Final Walk-thru: A mandatory tour of the facility/use areas performed by an Arc GLOW staff member after the event or the following business day. After this point, pending the walk thru results, the $150 damage deposit can be refunded.

Damages – Any damages occurring as a result of the rental or caused by a member of the renter group, will be the responsibility of the user group. The $150 cash Damage Deposit will not be refunded if the facility conditions do not meet with the approval of Arc GLOW staff. The responsibility of clean up and trash removal will fall on the renter. A detailed explanation of the damage associated costs will be provided by Arc GLOW Director of Business Services to the designated user group contact person.

Building Security – Arc GLOW is not responsible for lost, stolen, or damaged items. There is no alcohol, tobacco and/or drugs allowed on the premises.

Insurance – Arc GLOW requires all user groups using the facility for recreational and athletic activities to name Arc GLOW as an additional insured and provide documentation of the same prior to use.

Upon completion of the event, the renter is required to notify the facilities person of completion and assuring the facility is secured. Leave voicemail if prompted.
